Overview

Texas A&M Exchange Email is a messaging and collaboration service, which features email, calendars, contacts and tasks. Exchange allows users to access critical business communications whenever and wherever they need to with greater security and reliability, as well as deep integrations with OneDrive, SharePoint, and other Microsoft 365 tools. Exchange supports distribution groups, shared calendars and contacts, and role-based mailboxes for rooms and resources. Campus members with questions should contact helpdesk@tamu.edu. A Texas A&M Exchange mailbox is available for Texas A&M University faculty and staff (including student workers) as part of the Microsoft 365 service.

Operational Service Level Details

Availability
The service is powered by Microsoft 365 Exchange Online, which is a highly available cloud service managed by Microsoft. 

Backups
Microsoft manages disaster recovery infrastructure for Exchange Online. 

Retention/Archiving1
Self-service message recovery is available for messages up to 14 days (about 2 weeks). 

Messages in the Deleted Items folder are automatically deleted after 30 days.

Message deleted from the Deleted Items folder are recoverable for up to 14 days (about 2 weeks).

If desired, colleges or divisions can request more restrictive retention policies for their users. Individuals can also enable more restrictive retention settings for their account.

Mailboxes can be restored for up to 30 days after they have been deleted. This service is only for mailboxes that have been deleted in their entirety and cannot be used to recover individual messages.

1Archiving is available for users who need more than 100 GB.

Normal Availability
Microsoft 365 Exchange Online is designed to be available for campus member use 24 hours per day, seven days per week, 365 days per year (24x7x365).

Governance

The Office of the Vice President and Chief Information Technology Officer and designees of that office establish operational policies and procedures for this service.

Texas A&M University Rules and Policies apply to the administration and use of this service. Specific to the use of email are the following rules and standard administrative procedures:

Requests for information

All requests for discovery or forensic actions will be coordinated through the Chief Information Security Officer (CISO@tamu.edu). This includes complaints, public information requests, litigious issues and investigative action requests, and all other requests for disclosure of account, activity or content information.

  • Outlook for the Web: Access to your Exchange account using a web browser from any computer with an Internet connection.
  • ActiveSync: Provides a way to synchronize Exchange information (emails, contacts, calendars, tasks) on your mobile device.
  • Calendars, Contacts, Tasks: Enhances collaboration with optional sharing.
  • Distribution Groups: Group email addresses for distribution lists.
  • Role-based Mailboxes: Special resource mailboxes available that have a corresponding @tamu.edu account through Account Services.
  • Rooms and Resources: Create room, equipment, or other resource reservations.
  • Antispam/Antivirus: Uses both Proofpoint and Exchange Online Protection to scan all email for spam and malware. Links to external websites will be protected by URL rewrites.
