Overview

This document explains the expectations and procedures for requesting a provided loaner laptop for international travel to export-controlled countries.

An equipment loan will provide secure, standard functionality and software for traveling abroad with a lowered risk of exposure or loss of important university data.

Scope of Services

For export-controlled travel requests, Health IT will prepare loaned equipment within 10 business days of the request. Data backups and system updates will not be performed for personal devices, such as personal computers, tablets, smartphones or additional types of mobile devices.

Equipment loans are limited to 60-day checkouts.

Request Procedure

There are three steps for requesting a loaner laptop:

Step 1

Contact the Export Controls Office (email exportcontrols@tamu.edu) for an export control review and confirmation to be approved for foreign travel.

Step 2

Submit the request form at https://lf.tamhsc.edu/Forms/ForeignTravelLaptopRequest. After you submit the form, a unique help ticket will be automatically generated to track the progress of your request.

Step 3

Pick up a loaner laptop at a walk-up local support location.

Health IT Responsibilities

Requests are routed through the Health Technology Care Team. An individual IT Technician will be assigned to your case to personally guide you through the process.

Health IT requires a lead time of 10 business days to issue loaned equipment. More days may be necessary for verifications or additional processing with units outside of Health IT, such as the traveler's department or the university's Export Control Office.

Client Responsibilities

When receiving loaned equipment for international travel, clients will be responsible for submitting the request form to Health IT not less than 10 business days prior to travel.

Clients are responsible for picking up and returning loaned equipment at a walk-up local support location. If loaned equipment is not returned within 10 business days of the documented travel return date, Health IT may involve administrative offices in the borrower's department to assist in retrieving the laptop and will deactivate use of the device.

Each client is responsible for informing Heath IT of any new data that was generated, stored, collected or transmitted to ensure records retention. The device should be returned when necessary for securing the data.

Loaned equipment is not permitted to be used for any other purposes and must be returned to Health IT within 10 business days of returning from travel. Upon return from your trip, loaned equipment is not permitted to be connected to ANY network, including Texas A&M University networks, prior to returning the device to Health IT.
